The event confirmation feature requires certain settings in the Office365 environment to minimize communication with calendar servers and to provide sufficient response speed for a large number of confirmed resources.
In order to avoid having to read the calendars of all resources, which could take a long time in case of a large number, messages about changes in the calendars are sent to one delegate (service) account. This account then processes only the necessary events and performs the required actions. This radically reduces the number of necessary communication transactions with the calendar servers.

### Create group

Create a group that includes all resources that require confirmation.

- Log in to the *Microsoft 365 admin center* as an administrator.
- Go to *Groups / Active groups* and select *Add a group*.
- Select *Mail-enabled security* group type and tap *Next*
- Enter the name of the group, e.g. *ResourcesForConfirmation,* and tap *Next*.
- Enter the email address of those security groups, e.g. *[ResourcesForConfirmation@contoso.com](mailto:ResourcesForConfirmation@contoso.com)*. Uncheck the box *Allow people outside of my organization to send email to this Mail-enabled security group* and tap *Next*.
- Check the parameters of this new group and tap the button *Create group*.

### Add resources to the group

Now you need to add users to this group:

- Double click on the group in *Groups / Active groups* page and select the *Members* tab. Then tap *View all and manage members*. Click on *Add members*, select the resources and confirm with the *Save* button.
- Alternatively, you can use the [PowerShell](https://www.manula.com/manuals/cue-a-s/touchone-solution-deployment/1/en/topic/prerequisites-for-managing-microsoft-365-using-powershell) command for each resource:
*Add-DistributionGroupMember -Identity < GROUPNAME > -Member < USEREMAIL >*
Example: *Add-DistributionGroupMember -Identity “ResourcesForConfirmation” -Member “room01@contoso.com”*

### Create dedicated delegate account

Because the account used for event confirmation will handle a large number of messages and will be heavily loaded, we recommend that you create a dedicated delegate (service) account that will be used only for confirmation purposes. In the following examples, this account will be named *[ConfirmationWorker@contoso.com](mailto:ConfirmationWorker@contoso.com)*. For details on creating a service account, see “page 9 of the [Setup Guide Microsoft Office 365](https://my.cuesystem.com/Data/Sharepoint//Salesliterature/Microsoft%20Office%20365%20Settings_90C289438541E711812BE0071B662001/touchONE_SetupGuide_MicrosoftOffice365_FW21.pdf), chapter *Creating a service account*. The service account needs full access to all confirmed resources.

### Mail flow settings

In the last step, the mail flow is set up so that messages about changes in the calendar of confirmed sources are forwarded to the dedicated service account.

- If you are not already, log in to the *Microsoft 365 admin center* as an administrator.
- Go to *Exchange Admin Center* (click *Show all* and select *Exchange Admin Center*).
- Select *Mail flow* and *Rules*.
- Click *+* and *Create a new rule…*.
- Click on *More options* at the bottom of the window.
- Enter a name for this rule, e.g. *InformConfirmationWorker*.
- In the field **Apply this rule if…* select *The recipient…* and *is a member of…* and *is a member of this group*, then a select group of confirmed resources, e.g. *[ResourcesForConfirmation@contoso.com](mailto:ResourcesForConfirmation@contoso.com)*.
- In the field **Do the following…* select *Add recipients…* and *to the To box…* and the select delegate account dedicated for confirmation, e.g. *[ConfirmationWorker@contoso.com](mailto:ConfirmationWorker@contoso.com)*.
- Check the checkbox *Stop processing more rules*.
- Save the rule with the *Save* button.
