The “Find a colleague” function, because it works with the calendars of individual users, is subject to GDPR. Therefore, individual users should use the procedure below to allow them to be searchable by this feature. Alternatively, if the users’ consent to be searched for is covered by an employment contract, for example, the administrator can make this setting.

# Create group

First, you need to create groups of users who will be able to search each other:

- Log in to the *Microsoft 365 admin center* as an administrator.
- Go to *Groups / Active groups* and select *Add a group*.
- Select *Mail-enabled security* group type and tap *Next*
- Enter the name of the group, e.g. *FindColleagueGroup*, and tap *Next*.
- Enter the email address of those security groups, e.g. *[FindColleagueGroup@contoso.com](mailto:FindColleagueGroup@contoso.com)*. Uncheck the box *Allow people outside of my organization to send email to this Mail-enabled security group* and tap *Next*.
- Check the parameters of this new group and tap the button *Create group*.

# Add users to the group

Now you need to add users to this group:

- Double click on the group in *Groups / Active groups* page and select *Members* tab. Then tap *View all and manage members*. Click on *Add members*, select the users and confirm with the *Save* button.
- Alternatively, you can use the [PowerShell](https://cue.atlassian.net/wiki/spaces/M3SG/pages/211288092/) command for each user:
*Add-DistributionGroupMember -Identity < GROUPNAME > -Member < USEREMAIL >*
Example: *Add-DistributionGroupMember -Identity “FindColleagueGroup” -Member “john.smith@contoso.com”*

# Set calendar sharing

Finally, you need to set up users to share their calendar with this group.

## By user

If the consent of each user is required to be searchable, the user must allow sharing himself as follows:

- Open Web Outlook – Calendar
- Tap … in the calendar to be shared and select *Sharing and permissions*.
- Enter the group’s email, e.g. *[FindColleagueGroup@contoso.com](mailto:FindColleagueGroup@contoso.com)*, in the *Enter an email address or contact name* field.
- Then select the permission *Can view all details* and confirm it with the *Share* button.

Now you need to wait at least 2 hours for the relevant rights to replicate throughout the Microsoft 365 environment.

## By administrator

If your user’s consent to calendar sharing is resolved other than by individual user consent, calendar sharing can be set up by an administrator using [PowerShell](https://cue.atlassian.net/wiki/spaces/M3SG/pages/211288092/). The command to set up single-user calendar sharing looks like this, where < FOLDER PATH > is replaced with calendar name (technically calendar is one of the subfolders in the user working folder):

- *Add-MailboxFolderPermission -Identity < USEREMAIL >:< FOLDER PATH >” -user < GROUPEMAIL > -AccessRights Reviewer*
- Example: *Add-MailboxFolderPermission -Identity “john.smith@contoso.com:\calendar” -user “FindColleagueGroup@contoso.com” -AccessRights Reviewer*
The name of the calendar in the command is localized into the language that the user has set in the Microsoft 365 environment. Item identity might look like this: *“karl.bauer@contoso.com:\kalender”*.
