# New Layouts Dashboard - User Manual

This dashboard is used to evaluate room reservation statistics.
It is mainly designed for a quick overview: how many reservations were made, how many participants there were, what the average daily load is, and what the time usage efficiency is.

After every filter change, all dashboard sections are recalculated:

- summary cards,
- both charts,
- both hierarchical tables.

If the selected filters return no result, the dashboard shows a message that no data is available for the selected filters.

---

## 1. How filters work

### Basic rules

- All filters are applied together.
- In practice: the more filters you select, the less data you usually see.
- If you do not select anything in a filter, that filter does not restrict data.
- The **Clear filters** button returns everything to the default state.

### Meaning of each filter

- **Organizer**
Select specific organizers by email.
- **Include organizer in attendees**
When enabled, the selected organizer is also considered a match if they appear as an attendee.
- **Attendee**
Select by attendee email.
- **Online meeting provider**
For example Teams and other online meeting providers.
- **Resource area**
Select the location/area where the resource belongs.
- **Capacity**
Select by room/resource capacity.
- **Resource**
Select specific rooms/resources.
- **Created by**
Source where the reservation was created (field `CreatedBy`).
- **Start day from / to**
Date range where reservation start should fall.

### Important rule for "Resource"

- First, the system determines resources matching selected **Area** and **Capacity**.
- If you do not select any specific resource, all matching resources are used.
- If you select specific resources, only resources that also match area and capacity are used.

---

## 2. What the summary cards show

- **Total reservations**
Total number of reservations found after applying filters.
Formula: `count(filteredReservations)`
- **Total participants**
Sum of all attendees across all found reservations.
Formula: `attendeesInReservation1 + attendeesInReservation2 + ...`
- **Average reservations per day**
Daily reservation counts are taken and averaged.
Formula: `(reservationsDay1 + reservationsDay2 + ... + reservationsDayN) / numberOfDaysWithReservations`
- **Efficiency**
Percentage of time usage.
General meaning: "used time" divided by "comparison base", then multiplied by 100.
Formula: `(usedMinutes / baseMinutes) * 100`

---

## 3. Efficiency - calculation modes (most important section)

### A) Inside time range only

- Used time:
  - only the part of reservations that falls inside the tracked time range is counted.
- Comparison base:
  - if "according to resource working hours" is enabled: resource working hours for relevant days,
  - if disabled: manually defined `from-to` time range for relevant days.

Result:

- Efficiency = `(minutesInsideTimeRange / baseMinutesInTimeRange) * 100`

---

### B) Relative

- Used time:
  - full real reservation duration is used (not only the part inside the range).
- Comparison base:
  - if "according to resource working hours" is enabled: resource working hours for relevant days,
  - if disabled: manually defined `from-to` time range for relevant days.

Result:

- Efficiency = `(totalReservationDuration / baseMinutesInTimeRange) * 100`

---

### C) Total

- Used time:
  - full real reservation duration is used.
- Comparison base:
  - full day (24 hours = 1440 minutes) for each relevant resource day.

Result:

- Efficiency = `(totalReservationDuration / (resourceDaysCount * 1440)) * 100`

---

## 4. How time range selection works

### Time range according to resource working hours (enabled)

- Time window is taken from each resource's working hours.
- In other words, the system counts only time when the resource is "open".

### Manual time range (from/to)

- Manually entered time interval "from" and "to" is used.
- This applies only when the previous option is disabled.
- Condition: "from" time must be earlier than "to" time.

---

## 5. What charts and tables show

### Chart: Average reservations by day of week

- Shows average reservation count for Monday, Tuesday, etc.

### Tree list: Organizer - resource

- Hierarchy:
  - organizer first,
  - specific resources under organizer.
- Per each row:
  - reservation count,
  - participant count,
  - efficiency.

### Tree list: Year - quarter - month - week - day

- Hierarchical time-based view.
- Per each time level:
  - reservation count,
  - efficiency.

### Chart: Reservation count and efficiency by reservation start day

- Shows day-by-day trend in time:
  - reservation count,
  - efficiency.

---

## 6. Important notes about time and dates

- Filter **Start day from/to** is evaluated in the resource local date/time context.
- Some aggregations (for example day-of-week chart) are calculated in client/browser timezone.
- Around midnight, some reservations can therefore appear under different days in different views.

---

## 7. What to do when "no data" is shown

Most common causes:

- filter combination is too narrow,
- selected period is too short,
- selected resource does not match current area/capacity.

Recommended steps:

- first click **Clear filters**,
- then add restrictions gradually,
- optionally extend the selected date range.
