Users can sign in to CUE Assist using different authentication methods, depending on the calendar server and system configuration.

When CUE Calendar is used, several sign-in methods are available, including a verification code sent by email, an external identity provider such as Microsoft 365 or Google, or a password. When another calendar server is used, users sign in using the identity associated with that server, for example, a Microsoft 365 account when Microsoft 365 is used.

CUE Assist provides users with access to everyday workplace services from both mobile devices and desktop computers. The available features depend on the application configuration and can be tailored to the specific needs of the organization and its users.

## Profile & Settings

:settings: The **Settings** page allows users to customize the following options according to their personal preferences:

- Reservations
- Language and localization
- Home area and location filtering:
  - Home area
  - Allowed areas

> ℹ️ The languages available in CUE Assist are configured in *CUE Admin* → *System* → *Languages*. The required languages can be enabled in the *CUE Assist* column of the language list.

:profile: The **Profile** section displays basic information about the signed-in user, such as their name, email address, and profile picture.

## Appearance

The appearance of CUE Assist can be customized to match the customer’s visual identity. A custom logo can be added, and colors used for various interface elements, such as the side menu, buttons, and headings, can be configured individually.

> ℹ️ The appearance of CUE Assist is configured in CUE Admin under *System* → *Design*.
> ℹ️
> ℹ️ The logo is added on the *Web applications* tab. It is sufficient to configure the *Logo for light background*, which is primarily displayed in the header of CUE Assist and CUE Navigation.

> ℹ️ ![image-20260830-201031.png](media://ac13930f-5b99-41ce-bd01-7be0162e391d)
> ℹ️
> ℹ️ Colors are configured on the *Colors* tab. CUE Assist uses a predefined color scheme by default. To customize the colors, the *Custom* option must be selected in the *CUE Assist *section, which displays the available color settings.
> ℹ️
> ℹ️ Individual settings affect different elements of the CUE Assist interface, such as the side menu, buttons, headings, and text. As the same color setting may be applied to multiple interface elements, it is recommended to verify the resulting appearance directly in CUE Assist and adjust the colors as required. ## Home

:home: The **Home** page provides users with a quick overview of current activities and the most frequently used CUE Assist features. Its content depends on the application configuration and the user’s permissions.

![image-20260807-134657.png](media://a0f47be8-8f95-4825-9692-76c4a1b65193)

The main content of the Home page consists of the following sections:

- **News** – Displays the latest company announcements. Cards include the title, a brief description, the publication date, and, if available, an image or a link to the full article.

- **Reservations** – Displays the user’s upcoming reservations, including the date and time, reservation name, reserved resource, and current status. Each card provides access to the reservation details and available actions.
- **Favourite** – Displays favourite rooms and other resources together with their current availability. Selecting an available resource allows users to quickly create a reservation.

The following action buttons are available at the top of the Home page:

- **Scan QR code** – Starts QR code scanning. Depending on the type of QR code, users can open the corresponding resource or reservation, confirm a reservation, or set the starting point for navigation. More information can be found [here](https://cue.atlassian.net/wiki/spaces/assist/pages/2495348757).

> ℹ️ This option is primarily intended for use on mobile devices, as it is designed to scan QR codes located at resources throughout the building.

- **Refresh** – Updates the list of reservations and their current status.
- **New service request** – Opens a form for creating a new service request, such as equipment or catering.
- **New reservation** – Starts the reservation process. Depending on the application configuration, users can search for a resource in the timeline, on the floor plan, or by using the reservation form.

## Reservations

:reservation: The **Reservations** menu provides options for managing reservations, searching for available resources, and creating new reservations.

### Calendar

The Calendar page displays the user’s reservations in either calendar or list view. Each reservation includes basic information such as the reservation name, date and time, reserved resource, organizer, and current status.

Reservations can be filtered by time period, resource name, organizer, participants, and reservation status. Cancelled events can also be displayed. In the calendar view, users can add and compare the calendars of other users.

### Timeline

The Timeline option displays a timeline showing the availability of resources and selected participants. Users can navigate to the previous or next day, select a specific date, and sort the results by name, capacity, or occupancy.

Different colors in the timeline indicate available, reserved, limited, or closed time periods, as well as availability outside working hours. For the current day, the current time is also indicated.

Selecting an available time period opens the new reservation form. Selecting an existing reservation displays its details and, depending on the user’s permissions, provides options for managing it.

The filter panel allows the Timeline results to be filtered by:

- **Location name** – allows any number of resources to be selected
- **Attendees** – allows resources to be filtered by events attended by a specific user
- **Required duration** – allows resources to be filtered by availability for the required duration on the selected day

- **Show events by resource status **–** **determines which reservations are displayed based on the current status of the reserved resource. Available statuses are:
  - **Accepted** – the resource has accepted the reservation and no further confirmation is required
  - **Tentative** – the resource has neither clearly accepted nor declined the reservation, or its status is not known
  - **Declined** – the resource has declined the reservation, for example due to a scheduling conflict or reservation rules
  - **Confirmed **– the required reservation confirmation has been successfully completed
  - **Released for non-confirmation** – the reservation was not confirmed in time and the resource was automatically released
  - **Need confirmation** – the reservation requires confirmation, but the confirmation period has not yet started
  - **Unconfirmed** – the confirmation period has expired without the reservation being confirmed
  - **Confirm now** – the confirmation period is currently active and the reservation can or must be confirmed
  - **Release for non-confirmation failed** – the system attempted to release the resource due to missing confirmation, but the operation failed

For each selected resource type, the following criteria can also be specified:

- required capacity
- properties and equipment defined for the selected resource type
- the area where the resource is located

Clicking the :reset: button clears all applied filters.

### Floorplans

This option displays the availability of resources directly on an interactive floor plan of the building. Selecting an area opens a more detailed level, for example, from a building to a floor. The current position in the area hierarchy is shown in the navigation path above the map, which can also be used to return to parent areas.

Individual resources are color-coded on the floor plan according to their current availability. The meaning of the colors can be displayed using the :legend: icon in the upper-right corner of the screen.

- Available
- Available outside working hours
- Tentative
- Reserved
- Closed
- Limited

Resources can also be distinguished by their border color based on user assignments. User assignments determine who is allowed to create reservations for the resource:

- Assigned to the currently signed-in user
- Assigned to another user

Selecting a resource opens the new reservation form. Selecting an existing reservation displays its details and, depending on the user’s permissions, provides options for managing it.

The filter panel allows the Timeline results to be filtered by:

- **Location name** – allows any number of resources to be selected. Entering a resource name in the Location field also displays the path to the area where the resource is located.
- **Required duration** – allows resources to be filtered by availability for the required duration on the selected day. When filtering resources by Required duration, a specific floor plan must be selected, as the filter only searches for available resources within the currently selected floor plan.
- **Resource type** – when filtering resources by this option, a specific floor plan also must be selected

Clicking the :reset: button clears all applied filters.

### Find a colleague

This feature is used to find a workplace or meeting room near a specific colleague.

![image-20260820-062932.png](media://bba5c6ec-5b8f-4210-af4d-832f7650550d)

The colleague’s name or email address is entered in the search field. The application then displays their reservations for the current day and the following five days, sorted chronologically. Each reservation shows the date and time, reserved resources, organizer, and reservation status.
